This disclosure explains the payment features made available through FreightCMD. It forms part of the Terms & Conditions. Payment availability depends on the logistics provider, the payment channel, banking cut-off times and verification requirements.
1. The parties and accounts
FreightCMD provides software for logistics providers and their clients. Where enabled, client money may be received into a settlement account maintained separately from FreightCMD’s operating account. A virtual account number or payment reference identifies the intended logistics provider or transaction. It is a reconciliation identifier within the settlement arrangement—not a separate bank account opened in the user’s name.
2. Ledger balances are not bank deposits
A balance displayed in FreightCMD is an accounting record of funds attributed to a workspace, driver or transaction. It is not cash, e-money, a transferable currency, an interest-bearing deposit, or a personal bank account. It cannot be transferred between unrelated users or spent at unrelated merchants unless a separately approved bank product expressly permits that use.
3. How payments are attributed
- Bank deposits are matched using the assigned virtual account or unique reference.
- PayHere payments are matched using gateway, order and transaction references and the related request or invoice.
- A payment is credited only after confirmation from the relevant bank or gateway. Screenshots and deposit slips are evidence for review, not final proof of cleared funds.
- Unidentified, duplicated, short, excess, reversed or suspicious payments may be held while investigated.
4. Holds, reversals and chargebacks
Amounts may be reserved while a shipment is active, a refund or chargeback is pending, identity checks remain incomplete, or a legal or fraud review is underway. A provisional credit may be reversed if the underlying payment fails, is recalled, is duplicated or is successfully disputed. We will not deduct an unrelated amount without a ledger entry and stated reason.
5. Settlement and withdrawals
Eligible logistics providers may request transfer of an available balance to their verified corporate bank account. Availability excludes active holds, pending refunds, chargebacks, fees, taxes and disputed entries. Names and account details may be verified before release. Bank cut-off times, holidays and compliance checks can delay receipt.
6. Driver trip allowances
A logistics provider may allocate a restricted trip allowance to a driver for approved trip costs. The allowance remains subject to trip limits, receipts, reconciliation and reversal of unused or unsupported amounts. It is not wages, a general-purpose wallet or a promise of credit. The provider remains responsible for employment, reimbursement and tax obligations.
7. Fees and statements
Applicable platform, gateway, settlement, withdrawal or transaction fees are shown in the accepted quote, plan, rate schedule or confirmation before the relevant transaction. Configurable fees are not guaranteed by examples shown elsewhere. Statements may be corrected where a bank or gateway supplies revised settlement data.
8. Safeguarding and insolvency
FreightCMD intends to keep settlement funds operationally separate from its operating funds. This wording does not create a trust, statutory safeguarding arrangement, deposit insurance or direct claim against a bank unless the governing bank documents expressly do so. The legal treatment of funds if FreightCMD, a bank or a gateway becomes insolvent depends on those documents and applicable law.
9. Banks, gateways and regulation
Banks and payment gateways provide their services under their own terms and regulatory responsibilities. FreightCMD does not claim that contract wording alone exempts any activity from payment, money-transfer, card, deposit-taking or e-money regulation. Features will be limited, changed or suspended where required by a bank, gateway, regulator or law.
10. Planned card and merchant features
Any controlled fuel card, card linked to a trip allowance, or merchant-acceptance programme is a planned capability only until a licensed bank or approved card-program partner issues and controls it under written terms. FCMD Points, transferable stored value and acceptance by independent merchants are not offered under this disclosure.
11. Errors and complaints
Report a payment error promptly with the request or invoice number, amount, date, payment channel and reference. Do not send full card numbers or security codes. The Complaints & Dispute Resolution Policy explains review and escalation.
